The Event Waitlist feature in the Events module allows attendees to join a waitlist when tickets are sold out or the event has reached its maximum capacity. Depending on the event settings, waitlisted attendees can receive tickets when existing registrations are canceled or the event capacity is increased.
How to Enable the Event Waitlist
To enable the waitlist for an event:
- Under 01. Setup, click Registration Settings.
- Select Waitlist and check the Enable Waitlist box.
- Select when the waitlist should be available:
- When a ticket sells out: Allows you to select which ticket types support waitlisting.
- When the total event capacity is reached: Allows attendees to join the waitlist when the event reaches its maximum capacity.
- In the Waitlist Allowance field, set the maximum number of attendees who can join the waitlist.
How to Manage the Waitlist
To view waitlisted attendees and manage ticket allocation, go to the Waitlist tab in the Attendee List section. This tab is available only when the waitlist feature is enabled.
Click the three-dots button next to an attendee to access the following actions:
- Release Ticket: Allocates a ticket to the attendee.
- Delete: Declines the attendee from the waitlist.
- Edit: Allows the organization admin to modify the registration.
- Add Note: Adds a note to the attendee's record.
- View Registration: Opens the attendee's registration details.
How to Release Tickets Automatically or Manually
When an admin or event manager increases the event capacity, Glue Up provides two options for releasing tickets to waitlisted attendees:
- Automatic release: Releases tickets in the order attendees joined the waitlist. Tickets are released once the action is confirmed.
- Manual release: Allows the admin or event manager to release tickets individually as needed.
Waitlist on the Public Event Page
On the public event page, attendees can join the waitlist when the waitlist feature is enabled and the configured waitlist conditions are met.
System Emails
Glue Up sends automated email notifications to event managers and attendees to help them manage the waitlist and stay informed about registration updates.
Emails to Event Managers
- Sold Out Notification: Notifies event managers when an event is sold out, prompting them to review the event capacity or take appropriate action.
- Reminder to Check the Waitlist: If attendees are on the waitlist, event managers receive a daily reminder at 9:00 AM in their respective time zones to review and manage the waitlist.
Emails to Attendees
- Waitlist Confirmation: Sent when an attendee successfully joins the waitlist.
- Registration Confirmation: Sent after an attendee receives a ticket from the event manager and completes the registration process.
